Social media strategy & capability development
Section 01 / Working draft · 21 September 2026
MONTH 1 · ESTABLISH & BUILD

One organisation.
Distinct social voices.

A practical framework for the roles, platforms and brand architecture of UCSA’s national, programme, regional and site-specific accounts.

Prepared by AssistantryDraft for UCSA review21 September 2026
Working status: Account links and Instagram access flags are drawn from the UCSA information register and the links supplied for this project. Facebook permissions and technical Facebook–Instagram connections remain unverified unless explicitly stated otherwise. An unlisted Facebook URL does not mean no page exists. Colour names are recorded, but the illustrative swatches are not approved brand HEX values.
The framework

Four account types, four distinct roles

The Gap Year programme is a dedicated national programme, not a region or campsite. Sites are grouped below according to the UCSA website navigation; West Coast appears there as a separate site grouping.

01 · NATIONAL UCSA
The organisation’s mission, identity and nationwide story
↙   COMMUNICATION BRANCHES   ↘
02 · GAP YEAR / JOURNEY
Dedicated programme storytelling and recruitment
03 · REGIONAL ACCOUNTS
Regional ministry, relationships and community activity · provisional scope
04 · SITE ACCOUNTS ↳
Each campsite’s experiences, facilities and booking enquiries

Content travels both ways: sites and regions supply authentic stories for national amplification; National directs audiences towards the relevant programme, region or site. No account should be required to repost everything.

01 / National

National UCSA

The master organisational voice: who UCSA is, what it does and the impact it has.

Organisation-level
02 / Dedicated programme

Gap Year / Journey

A programme-focused account designed to show the experience and support informed applications.

Participant journey
03 / Regional

Regional UCSA

Regional ministry and community communication. The precise operational role remains provisional until Pieter confirms what regional teams do beyond managing sites.

Role to validate
AudienceRegional schools, churches, learners, volunteers and communities.
JobShow distinct regional programmes, relationships, events and outreach.
AvoidBecoming a duplicate feed of National and every campsite.
PlatformsPrioritise existing Facebook and Instagram; other platforms only for a demonstrated need.

Free State / Vrystaat

Regional colour: Orange

IG register: “Y” for access (level unverified)  ·  FB–IG link: Unconfirmed

Northern Cape / Noord-Kaap

Regional colour: Yellow (entered “Yello” in register)

IG register: “Y” for access (level unverified)  ·  FB–IG link: Unconfirmed

Northern Region

Regional colour: Grey

IG register: “Y” for access (level unverified)  ·  FB–IG link: Unconfirmed

Eastern Cape

Regional colour: Light Blue

IG register: “Y” for access (level unverified)  ·  FB–IG link: Unconfirmed

KwaZulu-Natal

Regional colour: Not recorded

IG register: “Y” for access (level unverified)  ·  FB–IG link: Unconfirmed

Brand treatment: Colours shown above are the regional colour names from the register; swatches are illustrative approximations. KwaZulu-Natal has no colour recorded. Existing regional Instagram entries show “Y” in UCSA Has Access?, but this does not establish administrator ownership. The absence of most regional Facebook URLs is an information gap, not evidence the pages do not exist.
Regional Facebook inventory: Western Cape’s Facebook link is listed above. For the other regions, no matching link has been established here; this does not mean all their Facebook pages are missing. Janelle has said most provincial Pages exist and that she has access to many of them. Avoid creating duplicate Pages until she supplies the exact links. The UCSA website also lists West Coast as a site grouping, although no separate West Coast social account was identified in the supplied register.
04 / Individual sites

Site-specific accounts

Show why a school, church, group or visitor would choose this particular site and how to enquire or book.

Site-level
AudienceTeachers and school organisers, churches, group coordinators and suitable visitors.
JobShow real activities, facilities, people, testimonials and practical booking details.
Priority platformsFacebook + Instagram, adapted to each site’s services and capacity.
Also considerGoogle Business Profile for appropriate physical sites; YouTube only if maintained.

Western Cape

Bainskloof

Website grouping: Western Cape · Site colour: Awaiting UCSA confirmation

FB–IG link: Unconfirmed

Bainskloof Facebook Page identified from the supplied Page ID. Janelle reports she can publish to Bainskloof but lacks full administrator access; confirm who has full control and whether this exact Facebook Page is linked to the Instagram account.

Karmel

Website grouping: Western Cape · Site colour: Awaiting UCSA confirmation

FB–IG link: Unconfirmed

Possible related presence only. Do not treat this as an official UCSA/Karmel Page or assume that UCSA has access until its relationship and ownership are confirmed.

Kijk in die Pot

Website grouping: Western Cape · Site colour: Awaiting UCSA confirmation

FB–IG link: Unconfirmed

Kleinmond

Website grouping: Western Cape · Site colour: Awaiting UCSA confirmation

Website grouping: West Coast · Site colour: Awaiting UCSA confirmation

FB–IG link: Unconfirmed

Eastern Cape

JBay / Jeffreys Bay

Website grouping: Eastern Cape · Site colour: Awaiting UCSA confirmation

Janelle indicated she may have task access rather than full admin access; she believes William may have administrator access. Confirm directly.

Free State

KwaZulu-Natal

Northern Region

Extreme Life

Website grouping: Northern Region · Site colour: Awaiting UCSA confirmation

FB–IG link: Reported for IG; pairing to verify

The Instagram register says “Connected to FB”; confirm the specific Page pairing and permissions in Meta Business Suite. This site’s day-to-day posting is currently recorded as Jessi (external).

Confirmed website grouping, pending brand detail: Sites are grouped above as shown in the UCSA website navigation. Individual site colours remain awaiting UCSA confirmation and have not been inferred from regional colours. “West Coast” appears as a separate website site grouping; a matching regional social media account has not been identified from the supplied account list.
Audit discipline

What we know — and what we do not

A social link, access to post and full organisational ownership are three different things.

Work from the shared account and access register:Open register ↗
Keep the original six-month plan moving

Next steps & responsibilities

Complete the Month 1 foundation with the information already available. Account recovery proceeds in parallel, not as a gate to the strategy.

Action plan
Update outstanding information in the shared register:Open register ↗
1

Review and validate this account framework

Pieter / UCSA leadership: confirm the operational role of regional teams and whether the four account categories accurately reflect UCSA’s structure. Confirm who should approve the final strategy.

MONTH 1 · DRAFT READY FOR REVIEW · RESPONSE NEEDED FROM UCSA
2

Complete the access register without halting strategy work

Janelle: add exact Facebook URLs for the regional and site Pages still missing from the register; record who can publish, who has full control, which FB–IG pairs are connected and which Pages need recovery. The Bainskloof Facebook Page has now been identified, but its administrative access remains outstanding. Confirm each site’s own colour when available, or mark it “Unknown”. Website site groupings are recorded in this framework.

MONTH 1 · IN PARALLEL · DEPENDS ON UCSA ACCOUNT INFORMATION
3

Convert account roles into practical content foundations

Assistantry + Janelle: validate audiences and initial goals for National, Gap Year, regions and sites; draft their content pillars, tone and cross-promotion rules using this framework.

MONTH 1 · STRATEGY, AUDIENCES, CONTENT FRAMEWORKS & INITIAL GOALS
4

Put a simple content collection and approval system in place

UCSA site contacts + Janelle: nominate content contributors, identify a shared submission location, and agree what contextual details, consent checks and approval are needed before publication. Assistantry: develop the guide and workflow.

MONTH 1 · SYSTEMS & GOVERNANCE · CAN START WITH ONE PILOT SITE
5

Prepare the first operational content plan

Janelle, guided by Assistantry: draft the initial content calendar for accounts with confirmed access, with realistic priorities, named content sources, approval owners and measurable goals. Do not wait for every legacy account to be recovered.

END OF MONTH 1 → MONTH 2 · FIRST CONTENT PLAN READY FOR GUIDED IMPLEMENTATION
6

Maintain the mentoring rhythm and review blockers

UCSA + Assistantry: arrange the monthly planning session and weekly 30-minute mentoring/check-ins described in the programme. Track what is complete, what awaits UCSA input and what will be carried into guided implementation; adjust timing openly if access or participation delays affect delivery.

MONTHS 1–3 · MONTHLY STRATEGY SESSION + WEEKLY MENTORING
Month 1 · Establish & build

Foundations and first plan

Audit, access/governance, audiences, strategy, content frameworks, systems, initial goals and the first content plan.

Months 2–3 · Guided implementation

Janelle operates the system

Planning and publishing by UCSA, with mentoring, selected content review, analytics and troubleshooting by Assistantry.

Months 4–6 · Independence & handover

Transfer responsibility

Gradually reduce external involvement, review performance, refine workflows and prepare for independent operation.

Scope reminder: Assistantry develops the strategy, systems and internal capability. Routine publishing, content creation and day-to-day account operation remain UCSA’s responsibility, except for specifically agreed mentoring assistance. Account recovery can be supported but cannot be guaranteed.
